Get started in four steps.
Your organisation needs to have an environment already. Not yet? Request a demo.
- 1
Sign in
Go to app.bsmartr.nl and click Sign in with Microsoft or Sign in with Google. You use your work account; no separate password is needed.
- 2
Connect your calendar
Click the circle with your initials in the top right and choose Connect my calendar. Has your administrator already connected Microsoft 365 for the whole organisation? Then you do not need to do anything.
- 3
Your first project
Go to Projects and click + New project. Enter the name, number, customer, go-live and the budget in hours. Then break it down into work packages, or choose a template.
- 4
Schedule your first task
On a work package, click + Schedule task. bsmartr suggests the engineers who have the right knowledge and the time. Pick one: the appointment appears in their calendar automatically.
Questions and answers.
Do I need to install anything?
No. You work in your web browser, on your computer, tablet or phone.
I see a padlock: “ask the administrator to add you”.
That means your email address has not yet been added to your organisation’s environment. Ask the administrator to add you and give you a role.
Can I bring my engineers and projects over from Excel?
Yes. As an administrator, go to Settings › Advanced › Import. Download the template, fill it in and upload it. You first see per row what will happen; nothing changes until you click Import. Import the engineers first, then the users, the projects and the leave.
Outlook says bsmartr is not allowed to change the appointment.
That means Outlook is still using an old version of the bsmartr uren add-in. Remove it in Outlook and add it again using the manifest file (available in bsmartr via the menu in the top right), or ask the administrator to update it. Your hours are still logged.
Which roles are there?
Administrator (set-up, users and subscription), Planner (tasks and weekly schedule), Project manager (projects, budget and planning) and Engineer (own tasks, reporting back and hours). You only see what is relevant to your role.
What does bsmartr see of my calendar?
Only whether you are free or busy. The content of your other appointments is not stored.
I belong to more than one organisation. How do I switch?
Click the circle with your initials in the top right and choose Switch organisation. You do not need to sign in again.
How do I report back that a task is finished?
The quickest way is from your calendar: open the appointment and tap Report back afterwards. A small window opens; tap Done and the window closes by itself. You can also go to My tasks and click Report back there. Forgot? You will receive an email with a link.
Why is there travel time in my calendar?
Do you work on site? Then bsmartr adds your travel time to your calendar as a separate appointment: from home to your first appointment, between appointments and back home. If an appointment moves, the travel time moves with it. In the appointment, Navigate with Google Maps or Apple Maps starts the route straight away.
What does 🚧 mean in my travel time appointment?
It means there is a traffic jam on your route. With the Traffic alerts module, bsmartr checks today’s travel time between 6:00 and 18:00. If the delay is 10 minutes or more, your travel time appointment starts earlier and you get a reminder 10 minutes beforehand.
Can I log hours from Outlook?
Yes, with the bsmartr uren add-in. Click the circle with your initials in the top right and choose Outlook add-in. There you create your key and find the steps.
Can I discuss a task with my team?
Yes. At the bottom of every task and every project there is a conversation for comments and files. Type @ and a name to send someone a notification.
Is there a dark mode?
Yes. In your own menu, choose Light, Dark or System.
Can I connect bsmartr to other systems?
Yes. Your administrator will find all integrations under Settings › Advanced › Integrations: Outlook, the Outlook add-in, Microsoft Teams, TOPdesk, Exact Online and the API with webhooks (for example for Power Automate, Power BI or Zapier). See also Integrations.
